Question

With a fully-running PrizmDoc environment (version prior to v10.5), I’m noticing times where the system becomes unresponsive. That is, at some point, it no longer processes requests being made to the backend and I have to restart PrizmDoc in order to alleviate it. What could be causing this?

Answer

Prior to version 10.5, PrizmDoc used ProxyServer as its image processing system. Our Development Team eventually began seeing that the ProxyServer exhibited architectural problems that lead to a multitude of issues, such as unresponsiveness.

Starting in version 10.5, the Development Team created the Prizm Content Connect Imaging Service (PCCIS), which is far more stable.

TAMPA, Florida, February 9, 2022 — Accusoft announces the launch of the Women In Tech Scholarship for 2022. The new scholarship program is aimed at female students passionate about pursuing a career in the Science, Technology, Engineering, or Mathematics fields.

The tech field has been exploding recently and offers lucrative job opportunities. Unfortunately, women are still quite underrepresented in all STEM fields, including tech. Despite making up roughly half of the workforce, less than 27% of tech positions are held by women and only 22% of Fortune 500 tech companies have female leaders.

This scholarship aims to support women pursuing STEM so they can find successful careers and create a more diverse workforce.

The secret life of APIs

How API Integration Works

At a very simple level, an API consists of code that allows two separate technology systems to communicate and interact with one another. It functions as a translator and messenger; delivering user requests and data from one system to a completely separate system. This effectively allows an application to utilize the features and data of other applications without having to build out that functionality from scratch.

For example, the Uber ride-sharing app connects customers to available drivers within a specific area. It does this with a combination of smartphone geolocation and accurate maps, but the Uber app doesn’t have mapping capabilities. To get those features, it connects to Google Maps by way of an API that allows the Uber app to access the relevant navigational data and use it to connect customers to drivers.

Another key function of APIs is their ability to automate key processes and connect legacy infrastructure to newer technology systems. Data can be collected in one system, for instance, and “pushed” into another system automatically. This not only eliminates the complicated (and error-prone) task of manually transferring data between different systems, but also allows users to build a workflow in an application they’re already accustomed to, without having to learn an entirely new system. 

More importantly, since APIs allow newer technologies, devices, and legacy applications to talk to each other, they provide firms with substantial flexibility when it comes to adding new platforms. Purchasing new software doesn’t mean throwing out existing tools, which significantly reduces the risks associated with technology investments and upgrades.

SmartZone powershell
 

Continuous innovation has allowed Accusoft to build sustained success over the course of three decades. Much of that innovation comes from talented developers creating novel solutions to everyday problems, many of which go on to become patented technologies that provide the company with an edge over competitors. 

Others, however, are the byproduct of looking at problems from a different perspective or using existing technologies in unique ways. Accusoft supports both approaches by hosting special “hackathon” events each year. These events encourage developers to spend time working on their own unique projects or try out ideas they think may have potential but have never been implemented.

For this year’s hackathon, I took a closer look at how our SmartZone SDK could be implemented as part of an automation solution within a .NET environment without creating an entire application from the ground up. What I discovered was that PowerShell modules offer a quick and easy way to deploy character recognition for limited, unique use cases.

.NET and PowerShell

One of the underestimated abilities of the .NET infrastructure is support loading and executing assemblies out of box from the command line using a shell module. Although there are many shell variants available, PowerShell comes preinstalled on most Windows machines and is the only tool required to make the scripts and keep them running. PowerShell also runs on Linux and macOS, which makes it a true cross-platform task automation solution for inventive developers who crave flexibility in their scripting tools. 

Incorporating the best features of other popular shells, PowerShell consists of a command-line shell, a scripting language, and a configuration management framework. One of the unique features of PowerShell, however, is that unlike most shells which can only accept and return text, it can do the same with .NET objects. This means PowerShell modules can be used to build, test, and deploy solutions as well as manage any technology as part of an extensible automation platform.

Implementing SmartZone Character Recognition

Accusoft’s SmartZone technology allows developers to incorporate advanced zonal character recognition to capture both machine-printed and hand-printed data from document fields. It also supports full page optical character recognition (OCR) and allows developers to set confidence values to determine when manual review of recognition results are necessary. 

Implementing those features into an application through a third-party integration is the best way to incorporate recognition capabilities, but there are some use cases where they might need to be used for general tasks outside of a conventional workflow. A number of Accusoft customers, for instance, had inquired about simple ways to use some of SmartZone’s features in their existing process automation software without having to spend weeks of development time integrating those capabilities on a larger scale.

Thanks to the versatility of PowerShell, there’s no reason to build such an application from scratch. SmartZone’s zonal recognition technology can easily be incorporated into any .NET environment with just a few snippets of code. PowerShell syntax itself is not very difficult to understand and for a quick start it should be enough to use a Windows Notepad application, but we recommend using your favorite integrated development environment (IDE) for a better experience.

Getting Started

First, you need to download SmartZoneV7.0DotNet-AnyCPU.zip from the Accusoft SmartZone download page and unpack it to any suitable directory. This bundle contains all required binaries to run SmartZone.

This simple code snippet allows you to use SmartZone together with PowerShell in task automation processes like recognizing screenshots, email attachments, and images downloaded by the web browser. It can also be deployed in other similar cases where the advantages of PowerShell modules and cmdlets can help to achieve results faster than writing an application from scratch.

December 6, 2022 – Tampa, FL – Accusoft is excited to announce the latest innovative feature update to PrizmDoc, its industry-leading document processing integration. The new PrizmDoc Hybrid Viewing feature offloads the majority of processing work for document viewing from the PrizmDoc server to the client’s device. 

While initial conversion and preparation is handled server-side, all viewing capabilities are implemented through the end user’s browser, which significantly reduces server requirements. Shifting processing to client-side devices has the added benefit of improving viewing performance, allowing users to open, view, and edit documents much faster than preparing them server-side.

“We pride ourselves on listening to our customers when identifying opportunities for product improvements,” says Jack Berlin, CEO of Accusoft. “The Hybrid Viewing feature grew out of requests from PrizmDoc customers for a faster viewing solution that’s less resource-intensive and more scalable. Ensuring scalability was a key priority for the Hybrid Viewing feature. Rendering and displaying documents using the PrizmDoc server could prove expensive for many customers, especially for large files or when accessing multiple documents at once. By shifting the viewing experience to client-side devices, very few server resources are required, making it easy to scale viewing to multiple concurrent viewers without increasing server costs.

Within this new feature, PrizmDoc also offers a PDF-only viewing package option that allows customers to pre-convert all file types into ready-to-view PDFs, which dramatically reduces server load with minimal storage requirements. This conversion option uses less server resources than standard SVG conversions, further reducing costs while simultaneously improving viewing performance.

On July 23, 2021, Accusoft announced the latest update to SmartZone, its versatile data capture SDK for forms processing. Enterprises are continuously engaged in a process of evaluating their operations to identify opportunities for improvement. When one of the world’s leading mortgage lenders took a closer look at how it was handling documents to process applications, it quickly recognized the need to implement a solution that would allow them to scale capacity and enable faster loan processing. The company’s diversified businesses included banking, capital markets, and insurance, all of which combined to handle more than $1 trillion in mortgages, with nearly $2 billion in new loans each day.

Overview

For many years, the lender had processed applications by hand, entering information from paper and electronic forms into a mortgage processing application. While users had to thumb through paper documents, electronic loan documents were made available through a content management system and a dual-monitor workstation. One screen contained the loan processing application and a list of electronic loan documents. The other screen displayed the selected document and allowed the user to browse its contents. 

In examining their loan purchasing process, the lender discovered that while it took 7-9 days to close a paper document loan, electronic documents closed in just 4-5 days. Unfortunately, the legacy content management system limited scalability and performance, and a grossly underpowered document viewing application further impacted user productivity. The potential revenue gain in expanding their use of electronic documents was enormous – in terms of enhanced efficiency alone. To retain their competitive edge in a challenging market, the lender made the decision to replace their legacy CMS with an enterprise solution.

Challenges

But in order to realize the full productivity potential of the new enterprise CMS system, the lender also needed to upgrade its client document viewing application. The new viewer needed to provide reliable viewing for various types of electronic forms, including scanned documents, faxes, and emails in TIFF, JPEG, and PDF formats. To meet productivity demands, the first page of each document had to be accessed within two seconds. The technology also had to be entirely web-based since no documents could be stored on a client’s desktop or hard drive due to compliance constraints. From a user experience standpoint, the viewing solution also needed to provide scalable thumbnail rendering, accommodate mouse and keyboard navigation with “hot keys,” and be able to meet rigorous load-testing requirements. 

After a thorough review of available options, the lender selected Accusoft’s PrizmDoc® for Java, formerly VirtualViewer®, HTML5 viewing technology to address its complex functionality and security requirements. Critically, PrizmDoc® for Java supported the lender’s required document set of PDF, TIFF, and JPEG, as well as AFP, PCL, MS Office, and many other important business document formats, which provided the growing lender with additional flexibility for future expansion. The viewer also delivered a variety of thumbnail features, including page rotation sync, full panel view, and adjustable size options. PrizmDoc® for Java’s configurable user interface would also make it easy to implement navigation options and hot keys that enhanced productivity. 

The lender had little time to dedicate to the integration with its new enterprise CMS solution, especially since much of the integration time would be taken up by the load-testing process. Fortunately, PrizmDoc® for Java’s intuitive API made it easy to incorporate the product seamlessly while leaving plenty of time for load testing. 

Results

Replacing their legacy content management system and integrating Accusoft’s powerful PrizmDoc® for Java high-speed HTML5 viewer enabled the lender to achieve its desired performance standards. Because PrizmDoc® for Java is completely web-based and requires no software to be installed on the client’s desktop, the lender could easily roll out a scalable solution that met critical security and business continuity objectives within a single, high-speed viewing application. 

The viewer’s server component renders and delivers individual pages to the client quickly and seamlessly, well within the lender’s required sub-two-second access requirements, even when accessing large, multi-page loan documents in various geographical locations. PrizmDoc®for Java now helps to increase the mortgage lender’s productivity by allowing users to access, view, annotate, and manipulate loan documents on the fly without ever touching the client’s local hard drive.

As a result, the lender can now import daily peak loads of more than half a million documents and deliver them to users across the enterprise in under two seconds, improving their overall mortgage processing time by more than 40 percent.

To comply with federal anti-money laundering/anti-terrorist laws and regulations, the USPS analyzes images of cleared postal money orders to detect possible suspicious activity. Because there are no required standards for the image formats, when the Federal Reserve initiates the digital process and issues the electronic image of the money order, the USPS must be able to read the multiple formats as well as convert the files to a standard format for analysis. Each money order is made up of two images, one each for the front and back.

Introduction

A large government agency with millions of employees needed to manage personnel records and payment information while also making documents and images easily accessible for all users. Each document trail spanned the duration of the employee’s time with the agency, resulting in a repository containing hundreds of millions of documents. The existing system used a combination of custom-developed, Windows-based image viewers that were cumbersome, difficult to maintain, and presented security risks. 

Overview

As the system struggled to keep up with demand, employees became increasingly frustrated with the system. Rather than viewing documents within the system, they began using workarounds like printing out files or saving them to another device, both of which presented serious security risks since the records contained personally identifiable information. The agency needed a solution that could manage hundreds of millions of documents while still providing users with simple, secure, and quick access to personnel records and payment information. 

Although the document repository’s legacy viewing solution was no longer able to meet the agency’s needs, developing a new document viewer was prohibitively expensive and required expertise its IT team did not possess. Rather than building a solution from scratch, it made more sense to evaluate viewing integrations available on the market. The agency set out to find a viewer that could support multiple document types, including TIFF and PDF/A, for both viewing and archival purposes. Whatever solution the IT team chose to adopt would have to integrate smoothly into the existing legacy system to avoid a costly and time-consuming overhaul. 

Challenges

After evaluating several options, the agency turned to Accusoft’s PrizmDoc® for Java, formerly VirtualViewer®. As a Java-based viewer that uses HTML5 to render files for viewing, PrizmDoc® for Java would allow the document repository to access files quickly and easily. PrizmDoc® for Java’s extensive file format support allowed the agency to render PDF, Word, Excel, AFP, DWG, TIFF, and more in one universal viewer. The integration’s built-in library eliminated the need for a third-party application or additional license, further simplifying the agency’s document management processes. 

Another key priority was giving employees the ability to access documents from multiple devices. In the past, the system’s legacy viewer only allowed them to open and view documents on a desktop with the right software installed. To streamline the employee experience, the agency required a viewer that could be accessed from any device that supports a web browser, including tablets and smartphones. PrizmDoc® for Java’s true cross-platform support and complete mobility provided the flexibility the agency needed to access documents from anywhere, at any time. The integration’s HTML5 technology and Java-based viewing allowed users to view and manipulate files within the browser, eliminating the need for an external application. 

PrizmDoc® for Java’s quick installation and integration process made it the ideal solution for the agency. Installing PrizmDoc® for Java’s document viewer took less than 10 minutes for proof of concept (POC) testing on any desktop, laptop, or virtual machine. The integration also provided APIs and developer tools to make integrating and leveraging the technology simple and easy, including RESTful content handlers that allowed for a more flexible development and deployment process.

Results

PrizmDoc® for Java’s high-speed viewing for large files allowed document rendering and processing to be split between the server and browser, delivering an extremely high-speed response. The integration’s advanced features, including annotation, redaction, splitting, merging, and more, provided far more functionality than was possible under the legacy viewer. PrizmDoc® for Java’s robust thumbnail panels also simplified working on large documents using full-panel thumbnail displays, as well as the option to adjust thumbnail size. 

By implementing PrizmDoc® for Java, the government agency was able to provide more streamlined access to personnel and payroll records, saving employees and HR personnel time and money while eliminating security and management issues associated with the previous viewing solution. Millions of users are now able to view critical information related to their records via any device that has access to a web browser. PrizmDoc® for Java’s robust document support and easy-to-use interface made it an essential tool for the agency’s document management and collaboration processes.
